YOU AS A WEBSITE VISITOR

- To inform you about Networkapp’s products and services.
- To demonstrate the functionality of the app through a trial environment.

Website Visits & Cookies

When you contact us, we process your name, email address, and phone number.
Trial & Dashboard Login
If you create a trial account or request a quotation, the section “Customers and Event Organizers” also applies to you.
Newsletter
To send you our newsletter, we process your name and email address.

Our website may contain links to external websites. Networkapp is not responsible for the content or privacy practices of these third-party websites. We recommend reviewing the privacy policy of any external website you visit.
Who has access to your data?
Networkapp uses your data exclusively for the purposes described above. We never sell your personal data to third parties.
If we work with external service providers that process personal data on our behalf, such as hosting providers or email service providers, we always enter into a Data Processing Agreement (DPA). This ensures that your data is protected with the same level of security and confidentiality that we maintain ourselves.
How long do we retain your data?
We do not retain your personal data for longer than is strictly necessary to fulfill the purposes for which it was collected, unless we are legally required to retain it for a longer period.
YOU AS AN ATTENDEE
When you participate in an event or community, the event or community organizer is the Data Controller responsible for the processing of your personal data under the GDPR. Networkapp provides the platform and app on behalf of the organizer. You are then free to decide whether to activate your Networkapp profile.
What do we use your data for?
Networkapp processes your personal data solely to ensure that the app functions properly and that you can use it with ease. This includes:
- Sending you invitations to use Networkapp on behalf of the organizer.
- Delivering important communications and updates from the organizer via email.
- Displaying your profile in the attendee list. Please note that if you do not activate the app yourself, the organizer determines whether your basic profile information is visible.
- Managing your personal agenda and session selections.
- Scheduling and managing appointments with experts or other attendees.
- Facilitating the exchange of contact information with exhibitors through the Leadscan feature.
What personal data do we process?
We process the personal data that the organizer provides to us. In most cases, this includes at least your name and email address. It is often supplemented with additional information such as your job title, company, session selections, and profile information such as your areas of expertise and/or interests.
Who has access to your data?
The Organizer and Its Partners
Networkapp shares your personal data with the organizer of the event or community. To provide our services, we work with specialized service providers, such as hosting providers. We enter into strict Data Processing Agreements (DPAs) with these partners to ensure that your personal data is handled with the same level of security and confidentiality that we maintain ourselves.
The Leadscan Feature
If the organizer enables the Leadscan feature for exhibitors, you decide whether to share your contact details. Your profile information, including your email address and, optionally, your phone number, is only shared when you allow an exhibitor to scan the QR code on your badge or mobile device. No personal data is shared unless your QR code is scanned. Exhibitors can securely export the leads they collect.
Third Parties and Legal Obligations
We only disclose your personal data to other third parties with your explicit consent. An exception applies when we are legally required by public authorities to disclose personal data. In such cases, we comply strictly with all applicable laws and regulations.
How long do we retain your data?
Networkapp retains your personal data from the moment it is imported until no later than eight (8) weeks after the event has ended, unless the organizer has agreed on a different retention period with us.
YOU AS A NETWORKAPP USER
Once you activate your Networkapp account, we process not only the data provided by the event organizer but also the information you add to your account yourself. This enables you to use the app across multiple events.
What do we use your data for?
Networkapp processes your personal data solely to ensure that the app functions properly and provides you with the best possible user experience. We use your data to:
- Deliver our services to you.
- Contact you when necessary to provide our services.
- Allow you to create and manage your account.
- Request your feedback about the app after an event.
- Maintain the security of our information systems.
- Comply with legal obligations where applicable.
- Inform you about changes to our services and products.
- Enable you to register for future events that use Networkapp with your existing app and account information.
What information do we need to create an account?
To create an account in our app, we ask you to register your name and email address and to consent to the use of your personal data for the purposes of the app.
There are three ways to create an account: using your Apple ID, LinkedIn account, or an email address.
Apple ID
You can link your Apple ID to your Networkapp account by accepting Apple’s Terms of Use. From your Apple ID, we only process your identification details, including your first name, last name, and email address. Networkapp does not have access to your password or your Apple ID profile.
LinkedIn
Networkapp uses the information made available by LinkedIn after you have granted permission and accepted LinkedIn’s Terms of Use. We only process and store your identification details, including your first name, last name, email address, and profile photo. Networkapp does not have access to your password or your LinkedIn account.
Email Account
If you register with an email address, we only process the first name, last name, and email address you provide.
Access to an Event or Community
Once your account has been created, you can access your event or community through an Event Code or a personal invitation link. At that moment, your account details are also shared with the event organizer.
What personal data do we process?
Networkapp processes your personal data because you use our services, because we are legally required to do so, or because you provide the data to us yourself. This may include:
- Your name, job title, organization, and email address.
- The events you have attended, appointments with other users, and responses to surveys or questionnaires.
- Your IP address.
After activating your account, the organizer may ask you to complete additional profile fields, such as your expertise, interests, or area of work. These fields may or may not be visible on your profile. You can always adjust your visibility settings within the app. When networking with other attendees, your email address is never displayed unless you choose to share it yourself.
Who has access to your data?
Networkapp shares your personal data with the event organizer or customer. We also use trusted service providers to help us deliver our services. In addition, Networkapp processes personal data where required by applicable law.
Leadscan
If the organizer enables the Leadscan feature for exhibitors, your contact details, consisting of your public profile information together with your email address and, optionally, your phone number, are shared only when an exhibitor scans your QR code. If you do not wish to share your information, simply do not allow your QR code on your badge or mobile device to be scanned. Exhibitors can securely export the leads they collect.
We enter into Data Processing Agreements (DPAs) with all companies that process personal data on our behalf to ensure the same level of security and confidentiality for your personal data.
Networkapp remains responsible for these processing activities. We will only share your personal data with other third parties with your explicit consent.
How long do we retain your data?
Networkapp does not retain your personal data for longer than is necessary to achieve the purposes described above, unless we are legally required to retain it for a longer period.
The following information will be retained until you delete your account:
- Your name and email address.
- The information you have added to your profile, such as your job title, company name, biography, and profile photo.
- Your chat history and the list of events you have activated.
What about cookies?
The online platform (app.networkapp.com) uses functional cookies only. The mobile app uses technologies comparable to functional cookies. If an organizer links to or embeds external web pages within the app, those third parties may use their own cookies. These cookies are not covered by Networkapp’s Privacy Statement or Cookie Statement.
What about external links?
Where the app contains links to external websites, Networkapp is not responsible for the content of or use of those websites. This Privacy Statement does not apply to the collection or processing of your personal data by or through external websites.
YOU AS A (PROSPECTIVE) CUSTOMER / EVENT ORGANIZER
Your personal data is used to provide you with access to the Networkapp event or community management environment. We also use your information to support the purchasing process and its follow-up, including invoicing, event setup, app support, product updates, and relevant offers.
What do we use your data for?
Networkapp processes your personal data for the following purposes:
- To enable you to create and manage an account.
- To provide our products and services.
- To contact you when necessary to deliver our services.
- To inform you about important changes to our services or products.
- To safeguard information security.
- To comply with applicable legal obligations.
What personal data do we process?
We may process the following personal data:
- Name
- Email address
- Phone number
- Address
- Job title
- Company
- Communication history, such as emails and support requests
Who has access to your data?

Networkapp does not retain your personal data for longer than is necessary to achieve the purposes for which it was collected, unless we are legally required to retain it for a longer period, for example to comply with tax legislation.
Networkapp as a Sub-Processor

General Information for All Audiences
Accessing, correcting, or deleting your personal data
You have the right to access, correct, or delete your personal data. Since your Networkapp profile always reflects the most up-to-date information, you can usually manage or delete your personal information yourself within the app.
Alternatively, you may submit a request to access, correct, or delete your personal data or your account by emailing support@networkapp.com. Networkapp will respond to your request as soon as possible and no later than four weeks after receiving it.
Where is your data stored?
Your data is stored locally within the app on your mobile device or in your browser when using the web app. This information remains available on your device until you log out.
In addition, your data is securely stored in the Networkapp backend, allowing it to be accessed from any device on which you sign in.
All data stored in the Networkapp backend is hosted exclusively within the European Union. For more information about our security measures, please refer to our Security Statement.
