Global connection: how Networkapp supported the NATO Summit 2025

How do you keep over 2,000 journalists and nearly 300 volunteers perfectly aligned during one of the largest diplomatic summits of the year? The NATO Summit 2025 in The Hague was about more than geopolitics. Behind the scenes, it was a logistical masterpiece. And at the heart of this international operation, one app powered two completely different target groups. Networkapp ensured that the right information reached the right people at exactly the right time: securely, clearly, and without noise. While the world’s attention was focused on political leaders, thousands of others were working tirelessly in the background, supported by a platform built to connect people.

One app, two worlds: media and volunteers

For this international summit, Networkapp provided a two-in-one solution: the Media App and the Volunteers App, combined in one integrated platform. Both groups used the same app, but each had access to their own secure environment with tailored information and communication tools.

For the media: always informed and well-organized

More than 2,000 journalists from across the globe travelled to The Hague to cover the NATO programme, the Public Forum, and several key press moments. Through the Media App, they received real-time updates on the agenda, background information, venue details, and last-minute changes. The app gave the organizing team the flexibility to communicate swiftly and provided journalists with the reliability they needed to be well-prepared. A crucial combination for an event with such a high public profile.

For the volunteers: clarity, connection, and coordination

Meanwhile, a team of 282 volunteers operated at full speed behind the scenes. Divided into 12 groups — from room ushers and hospitality assistants to golf cart drivers and press coordinators — they were kept up to date on team structures, shifts, locations, and instructions through the app. Group chats and one-on-one messaging allowed for fast, direct communication.

The Teamplanner played a central role in this. More than 1,200 tasks were efficiently distributed across the different teams and days. Any updates triggered automatic push notifications, ensuring everyone was in the right place at the right time. Especially during peak hours, the app brought calm and clarity to the operation.

Cybersecurity as a foundation

At an event of this magnitude, security on all levels is essential. In the lead-up to the summit, thorough penetration testing was carried out and all digital safety measures were aligned with the standards of the Ministry of Foreign Affairs. Just like physical access control, Networkapp ensured that the risk of digital intrusion was minimized. Data was secured, access was tightly managed, and all communications were encrypted enabling secure networking, both on-site and online.
